Terms And Conditions

All Tuition

  1. All tuition fees are non-refundable and non-negotiable, regardless of student or tutor attendance.
  2. Term fees must be paid in full by the due date specified on the invoice. Students with outstanding fees may have lessons suspended until payment is received in full.
  3. Students and/or parents are responsible for the full cost of any loss or damage to Academy property, equipment, or facilities caused by the student.
  4. A minimum of seven (7) days’ written notice prior to the commencement of a new term is required to cancel enrolment. Failure to provide sufficient notice will result in the full term fee remaining payable.
  5. Ultimate Guitar Academy reserves the right to amend fees, policies, and Terms & Conditions at any time.
  6. Parents, guardians, and students are responsible for ensuring Ultimate Guitar Academy has current and accurate contact information at all times.
  7. Parents and students must disclose any allergies, disabilities, medical conditions, or other relevant information that may affect participation in lessons or Academy activities.
  8. Overdue accounts and dishonoured payments may incur interest charges, late fees, administration fees, and debt recovery costs.
  9. Any approved rescheduled lessons must be used before the commencement of the following term unless otherwise agreed in writing.
  10. All lesson materials, resources, and intellectual property provided by Ultimate Guitar Academy remain the property of the Academy and may only be used by currently enrolled students and authorised tutors.
  11. Ultimate Guitar Academy does not guarantee that students will have the same tutor for every lesson.
  12. Tuition fees are charged as a flat term rate and are not adjusted for student absences.
  13. Students commencing lessons after a term has begun may receive prorated fees for their first term only.
  14. Prorated fees are available only for students enrolling after Week 1 of a term. All subsequent terms will be charged at the full term rate.
  15. By enrolling, students and parents consent to receiving Academy communications, including lesson information, scheduling updates, invoicing, and important announcements.
  16. By participating in workshops, jam sessions, performances, or Academy events, students and parents consent to the use of photographs and video recordings for promotional, marketing, website, and social media purposes.
  17. Creative Kids vouchers must be submitted at least thirty (30) days prior to their expiry date. Expired vouchers cannot be accepted.

Private Lessons

  1. A minimum of twenty-four (24) hours’ notice is required to request a lesson reschedule.
  2. Rescheduled lessons are subject to tutor availability and cannot be guaranteed. Students are responsible for arranging and attending any approved make-up lessons.
  3. The “First Lesson Free” offer is limited to one (1) private 30-minute lesson per new student and is valid only at the tutor’s nominated studio location.
  4. If a tutor is unavailable, Ultimate Guitar Academy will endeavour to provide a suitable substitute tutor. If a substitute cannot be arranged, the lesson will be rescheduled.

Group Lessons

  1. Group lessons cannot be rescheduled or credited for student absences.
  2. Ultimate Guitar Academy reserves the right to reorganise groups to maintain appropriate class sizes and minimum enrolment numbers.
  3. Students are responsible for any lessons missed due to school activities, sporting events, detentions, or disciplinary measures and should notify their tutor where possible.

Referral Program

  1. The Referral Program is available at selected locations only.
  2. Referral discounts apply only to full-term invoices.
  3. Eligible discounts will be applied to the following term’s invoice.
  4. Ultimate Guitar Academy reserves the right to modify or discontinue the Referral Program at any time.

School Locations

  1. A minimum of seven (7) days’ notice is required for any approved lesson rescheduling request.
  2. School assessments, examinations, and required school activities should take priority over lessons.
  3. Lessons missed due to school events, sporting carnivals, detentions, suspensions, or other school-related activities will not be rescheduled. Students should notify their tutor where possible.
  4. Parents and guardians must communicate directly with Ultimate Guitar Academy regarding enrolments, scheduling, and billing matters. School staff are unable to act on behalf of the Academy.
  5. Trial lessons conducted at a school location may be included in tuition fees if the student subsequently enrols.
  6. School assessments, examinations, and required school activities should take priority over music lessons. Students are responsible for managing any missed lesson content.
  7. Tutors may be entitled to one absence per term due to emergency circumstances or events outside their reasonable control. In such cases, a make-up lesson may not be provided.

Gift Certificates, Voucher & Prize Packs

  1. Gift certificates, vouchers, and prize packs are available to new students only unless otherwise stated.
  2. All lessons included in gift certificates, vouchers, and prize packs must be used in consecutive weeks.
  3. Lessons provided under gift certificates, vouchers, or prize packs cannot be rescheduled.
  4. Where a student is absent, a recorded video lesson may be provided at the Academy’s discretion in place of the missed lesson.
  5. Gift certificates, vouchers, and prize packs are not redeemable for cash and are non-transferable.

Guitar Rental

  1. Currently enrolled students may borrow one guitar free of charge for use during lessons and at home for up to five (5) consecutive weeks.
  2. Borrowed instruments must be returned within the approved rental period in the same condition as when issued, allowing for reasonable wear and tear.
  3. Following the initial five-week period, guitar rental will be charged at $25 per month.
  4. Students and/or parents are responsible for the full cost of repairing or replacing any lost, stolen, or damaged instruments, regardless of enrolment status.

  5. Rental guitars must be collected from and returned to Ultimate Guitar Academy at:

    1B/1 Exchange Parade, Smeaton Grange NSW 2567

  6. Only students with an active enrolment are eligible to rent or borrow guitars.
  7. All rented guitars must be returned within seven (7) days of a student’s enrolment ending.

Free Trial Lessons

  1. Free trial lessons are conducted at the tutor’s nominated studio location unless otherwise advised.
  2. Free trial lessons are available to new students only.
  3. Each student is entitled to one (1) free trial lesson.

We may also collect information relevant to lesson planning and student development, including:

  • Musical interests
  • Previous music tuition experience
  • Self-assessed skill level
  • Lesson preferences and goals

Why We Collect Information

We collect personal information in order to:

  • Schedule and manage lessons
  • Contact students and parents regarding enrolment matters
  • Send invoices and process payments
  • Prepare lesson content and learning plans
  • Organise timetables and class placements
  • Communicate important Academy updates
  • Send occasional promotional offers and marketing material

How We Use and Store Information

Ultimate Guitar Academy treats personal information as confidential and takes reasonable steps to protect it from misuse, loss, unauthorised access, modification, or disclosure.

Information will only be disclosed where:

  • Required to provide educational services;
  • Necessary for operational purposes;
  • Required by law; or
  • Authorised by the student or parent/guardian.

Tutors may be provided with relevant contact information for students and/or parents to facilitate lesson scheduling and communication.

Financial Information

Ultimate Guitar Academy does not store client banking or credit card information. Any financial details provided for payment processing purposes will be securely handled and deleted when no longer required.
